Responsibilities:
1. Scheduling and Calendar Management:
- Coordinate and manage appointments, project timelines, and employee schedules.
- Ensure efficient allocation of resources and timely project execution.
- Communicate with clients and team members to confirm appointments and updates.
2. Client Information Handling:
- Assist in maintaining accurate client records, including contact details, project specifications, and preferences.
- Manage client inquiries, follow-ups, and updates in a professional and courteous manner.
- Collaborate with the sales team to ensure seamless communication regarding project requirements.
3. Color and Paint Information Organization:
- Collect and organize colour and paint preferences from clients.
- Maintain a comprehensive database of paint codes, colour swatches, and other relevant information.
- Support the project team by providing accurate colour and paint details for each project.
4. Office Organization and Cleanliness:
- Regularly clean and maintain the front office area to create a welcoming and professional atmosphere.
- Organize office supplies, documents, and materials to ensure easy access and efficient workflow.
- Manage filing systems, both physical and digital, to facilitate quick retrieval of information.
5. Administrative Support:
- Assist in preparing and formatting documents, presentations, and reports.
- Handle incoming and outgoing mail, emails, and phone calls in a timely and professional manner.
- Support the office manager and other team members with ad hoc administrative tasks.
Qualifications:
- High school diploma or equivalent; additional relevant education is a plus.
- Proven experience in an administrative or office support role preferred.
- Excellent organizational and time management skills.
- Strong communication skills, both verbal and written.
- Detail-oriented with an ability to maintain accuracy in data entry and record-keeping.
- Customer-focused attitude and exceptional interpersonal skills.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Basic knowledge of paint colours and materials is a bonus.
